Agree the reporting requirements before assessment: building identifiers, accessible-area photographs, findings, access limitations and any completion documents included in the scope. Portfolio formats and compatibility with your existing system need separate confirmation.
Its owner, and that is settled before a scope is agreed rather than on the morning. Rooftop units, condensers, communications equipment and their ductwork belong to the mechanical, electrical and communications trades. What roofing owns is the membrane, the flashing around each curb, and the condition of the detail where the two meet. Anything that has to be lifted, disconnected or reset is coordinated with the trade that owns it, and that coordination is a line in the programme.
When work starts, how long each area stays open, where the hoist or the container will stand, what the access route is, when noise and odour are likely, and who to contact when something goes wrong. On a phased job it is worth telling them which area is being worked on each week as well. Most complaints on an occupied building come from something nobody was warned about rather than from the work itself.
