Agree the reporting requirements before assessment: building identifiers, accessible-area photographs, findings, access limitations and any completion documents included in the scope. Portfolio formats and compatibility with your own records need separate confirmation.
A conversation about access and authority, which saves time later. Who can approve work and up to what value, how after-hours access to plant rooms and locked roofs is arranged, whether there are tenant notice periods to work around, and who receives the record afterwards. Settling those before the first assessment is what stops a straightforward job stalling at the invoice.
Repeated reports at the same location are a reason to review the repair history and investigate the source; the log alone does not establish the cause. Record the location, date, observed conditions and previous work so the next assessment has useful context.
